Automated Intake Data Extractor
LegalServer's Automated Intake Mode allows organizations to upload scanned or digital documents and automatically extract structured intake data into their case management system.
Project Description
Automated Intake Mode is a beta feature developed by LegalServer (the case management tech platform) that streamlines the data entry process for legal services organizations. This tool enables users to upload files, such as scanned paper intake forms or digital PDFs, and leverages AI to extract relevant information and populate case fields within LegalServer. The tool supports both typed and handwritten documents, significantly reducing the time and labor associated with manual intake processing.
The feature is particularly useful for organizations conducting high-volume intake, such as post-clinic data entry or batch processing of court-referred cases. Instead of retyping hundreds of handwritten or scanned forms, users can upload files directly through the LegalServer interface or submit them via email. The system processes the files and displays a pre-filled intake results form where staff can review and adjust extracted data before final submission.
Behind the scenes, the system uses vision-based AI models (via Azure OpenAI endpoints) to analyze and parse incoming documents. Organizations must supply their own Azure OpenAI API key and configure the endpoint under their own cloud agreement, ensuring privacy and control.
The tool is fully configurable by site administrators, who can enable or disable access, assign permissions to user roles, and manage intake process settings through the "Machine Learning Settings" panel in LegalServer's admin section.
Early testers of the system have reported massive time savings. One organization estimated that automating their document parsing and case creation workflows would have cost the equivalent of 22.5 full-time employees in manual effort—but required only the budget for one or two staff to implement the AI-powered tool.
Current Status: Automated Intake Mode is currently available in open beta. Legal aid organizations interested in using the feature can contact LegalServer support to request access. A live Azure OpenAI configuration is required to activate the functionality.
